Dealer Privacy Policy

2715537 Alberta Inc. (“Car Loan Connect,” “we,” “us,” or “our”) provides partnered dealerships with access to our dealer portal, lead notifications, and related services. This Dealer Privacy Policy describes how we collect, use, disclose, retain, and safeguard information about dealership partners and their authorized users, and it sets out the obligations dealerships accept when handling consumer information we deliver to them. It applies alongside, and does not replace, our consumer Privacy Policy and your partnership agreement with Car Loan Connect.
1. Scope & Consent
1.1 By creating an account on the Car Loan Connect dealer portal, accepting an invitation from us or from your dealership's administrator, or otherwise using our dealer services, you consent to the collection, use, disclosure, and retention of your information as described in this Policy.
1.2 This Policy applies to all dealership principals, administrators, and staff who hold portal accounts, and to all information exchanged through the portal, our notification emails and text messages, and any exports generated from them.
1.3 You may withdraw consent at any time by closing your account, subject to legal or contractual restrictions. Withdrawing consent may mean you can no longer receive leads or use the portal.
2. Information We Collect About Dealers
- Account Information: name, business email address, mobile phone number, role within your dealership, and the credentials you create. We store passwords only as one-way cryptographic hashes and never see or set them.
- Dealership Information: dealership name, location, assignment preferences, and the team members your administrators invite.
- Usage & Audit Records: sign-ins, lead views, status changes, exports, and similar actions are logged with a timestamp and the acting account. These records protect consumers, support billing verification, and document compliance.
- Communications: records of notification emails and text messages we send to your accounts, including delivery status.
3. How We Use Dealer Information
- To operate your portal accounts and deliver lead notifications by email and SMS to the team members you designate.
- To route leads according to the assignment settings your dealership chooses.
- To produce analytics and invoices, and to allow both parties to verify lead volumes.
- To maintain security, investigate misuse, and meet legal obligations.
We do not sell dealer contact information, and we do not use it for third-party marketing.
4. Consumer Information Delivered to Your Dealership
4.1 Leads delivered through the portal contain personal information of identifiable consumers, which may include contact details, date of birth, address history, employment and income details, and credit-related declarations. Consumers consented to this disclosure so that a partnered dealership could assist them with vehicle financing. That purpose limits what your dealership may do with the information.
4.2 As a condition of receiving leads, your dealership agrees to:
- Use lead information only to contact the consumer about their financing application and to arrange vehicle financing, and not for any unrelated marketing without the consumer's separate consent.
- Not sell, trade, publish, or disclose lead information to any third party except as required to arrange financing (for example, submitting an application to a lender with the consumer's knowledge) or as required by law.
- Restrict access to lead information to authorized staff with portal accounts, and remove staff accounts promptly when someone leaves your dealership.
- Protect exported copies (including CSV files and printed applications) with safeguards appropriate to financial personal information, and destroy them securely when no longer needed.
- Honour consumer requests to stop contact, and notify us promptly at info@carloanconnect.ca of any such request, any complaint, or any suspected breach involving lead information.
4.3 Your dealership is independently responsible for complying with the Personal Information Protection and Electronic Documents Act (PIPEDA), applicable provincial privacy legislation (including Alberta's Personal Information Protection Act where it applies), and Canada's Anti-Spam Legislation (CASL) in its own handling of lead information.
5. Disclosure
5.1 We disclose dealer information only: to your own dealership's administrators (for example, team management screens); to service providers who host and deliver our infrastructure, email, and SMS under contractual confidentiality obligations; where required by law, subpoena, or court order; or in connection with a business transaction such as a merger, in which case equivalent privacy protections will apply.
6. Retention
6.1 We retain dealer account information for as long as the account is active and for a reasonable period afterward to satisfy legal, audit, and billing requirements. Audit records and lead history are retained so that billing and compliance can be verified even after an account or dealership relationship ends.
6.2 When a dealership relationship ends, its portal accounts are removed. Lead records remain with Car Loan Connect as part of our business records and remain subject to our consumer Privacy Policy.
7. Safeguards
7.1 We protect information with administrative, technical, and physical safeguards appropriate to its sensitivity, including encrypted connections (HTTPS), hashed passwords, role-based access control that limits each account to its own dealership's leads, and audit logging of access to consumer information.
8. Your Rights
8.1 You may access and correct your account information, or request deletion of your account, by contacting us or your dealership administrator. You may unsubscribe from SMS notifications at any time by replying OUT, and lead notification preferences can be adjusted in the portal.
9. Changes to This Policy
9.1 We may update this Policy from time to time. Material changes will be posted on this page with a revised “Last Updated” date, and continued use of the portal after changes take effect constitutes acceptance.
